Summary: We are seeking an experienced and detail-oriented individual to join our team as an Accounting and Operations Manager. This role will be pivotal in overseeing both financial and operational aspects of our organization. The ideal candidate will possess strong analytical skills, excellent organizational abilities, and a proven track record of success in managing accounting functions while also optimizing operational efficiencies.

You will support...

💼Accounting Operations

  • A/P: Manage A/P including bill.com (for invoices) and Ramp (for credit card)

  • Collections: Track outstanding invoices and collaborate with the sales team to handle past due invoices.

  • Invoicing: Collaborate with CFO

  • Payroll: Collaborate with CFO to ensure payroll is properly set up

  • Ongoing evaluation of vendors and spend

📅Monthly Close (in partnership with Kruze, outsourced bookkeepers)

  • Allocations to Departments: Update files monthly to allow Kruze to make allocations of all people related expenses (benefits, taxes, 401k etc.) to the appropriate GL accounts

  • Prepaids: Track vendors and update prepaid schedule for Kruze to utilize in making entries

  • Review monthly close including roll forwards to uncover “errors” and work with Kruze to fix them (or fix them directly)

  • Answer any questions they have

  • Create a monthly variance report to drive understanding of changes in the business

  • Collaborate with the CFO on internal and external reporting to support strategic decision making

📊Business Operations / Compliance

  • HR Compliance

    • Manage keeping Employee Handbook updated as Assured expands into new territories and implements new policies

  • Benefits: Collaborate with the CFO and CEO on Benefits renewals. Help manage all employee questions on benefits interacting with our broker.

  • Interface with HR on hiring plans to keep up to date with new hires and employee moves such that we are in compliance with all state regulations

  • Partner with our vendors to manage foreign registration and annual reports across states

  • Ensure registration is completed for all payroll tax-related items, follow-up with states, and work with our vendors (including payroll provider) to ensure they have the data needed to do all filings.

  • Periodically manage updates required by states for filings, unemployment payouts etc.

  • Insurance

    • Work with our vendors to secure workers' compensation insurance

    • Collaborate with the CFO on corporate insurance

  • Sales Tax

    • Work with our vendor to ensure Assured is registered where required by nexus for sales tax and completes filings appropriately

  • Corporate Tax (State and Federal)

    • Work with our vendor to ensure they have the data necessary to ensure timely filings of estimated taxes (as required) and annual tax returns.

    • Partner with the CFO to answer any questions required for annual tax returns, R&D tax credit filings, Section 174 filings, etc.

  • Procurement

    • Manage Assured’s vendor list and update contract terms, spend etc.

    • Proactively work with the CFO and the Department Leaders on vendor contract renewals

You have…

🎓 Bachelor's degree in Accounting, Finance, Business Administration, or equivalent work experience

📊 Minimum of 5 years of experience in accounting and operations management.

💻 Proficiency in accounting software (Quickbooks Online), excel, and G-suite

Self Starter, Proactive and Willing to Take On and Solve Problems

🔍 Strong analytical skills with strategic thinking abilities.

💬 Excellent communication and interpersonal skills.

US GAAP Knowledge

Bonus if you have experience:

  • Managing a financial statement audit

  • Creating and maintaining financial statement controls

  • Drafting notes to the financial statements

  • Filing for R&D tax credits
